Privacy Policy

PA Training is committed to protecting your personal information and respecting your privacy. This Privacy Policy sets out the purposes for which we will collect, hold and use your personal information and how this might be shared with third-parties. It also explains your rights in respect of your personal information.

PA Training is registered as a data controller with the Information Commissioner (ICO registration number Z2329625).

 

1. What personal information we collect

We may collect, hold and use the following personal information from or about you:

  • Your name, address, date of birth, telephone number, email, NI number, SCN registration number and gender;

    • Your nationality, ethnicity, sexuality and religion;

  • Confirmation of any criminal offences and ‘care experience’ status
  • Details related to your health or disabilities;
    • Details related to your education, interests, experience, qualifications or training; and
  • Any other personal information you provide to us when contacting or corresponding with us, when requesting products and services from us, when entering into any contract with us, when signing up to, attending or participating in training or our events.

    It is your responsibility to check and ensure that all the personal information you provide to us is correct, complete, accurate and not misleading. If you become aware that any of the personal information we hold about you is out of date or is otherwise inaccurate, please contact us using the details set out at the end of this Privacy Policy.

If you are providing personal information on behalf of any other person, you must ensure that you have that person’s permission to do so and for their personal information to be processed in accordance with this Privacy Policy.

 

2. Why we collect your personal information

We may collect, hold and use personal information from or about you for the following purposes, and to keep in contact with you for such purposes:

  • to assess your suitability for employment or training;
  • to introduce you to prospective employers;
  • to deliver, manage, develop, promote and administer training or related services;
    • to monitor, assess, record and report on your training (including to your employer);
    • to maintain compliance with the requirements of qualification bodies, regulatory bodies or funding bodies;
    • to keep you informed via mail, email, SMS or telephone about opportunities or training that may be of interest to you;
    • to obtain feedback and improve the products and services we offer; and
    • for record keeping, research, monitoring and analysis purposes.

We may collect, hold and use personal information related to your gender, health, religion, ethnicity or sexual orientation for statutory and regulatory reporting purposes, for equality monitoring purposes and to provide any reasonable adjustments under the Equality Act 2010.

We may be provided with personal information about you from your school, employer, careers adviser and related organisations. If this happens, the relevant organisation providing this information will have a responsibility as a “controller” to provide you with a separate privacy policy that sets out how they collect, hold and use your personal information, but in these circumstances please note that PA Training itself will only collect, hold and use your personal information in accordance with this Privacy Policy.

 

3. Who we share your personal information with and why

Unless you specifically agree or ask us to share your personal information with a third-party, your personal information will only be shared as follows:

  • with any current or prospective employer;
    • with any relevant qualification, regulatory or funding body;
    • with any body providing support to secure employment or training or additional support for employment or your training; and
    • with any third party delivering services on behalf of PA Training.

    If we share your personal information with third-parties, they will be “processors” and subject to written conditions to only process your personal information in accordance with our instructions and to protect it. We will only share your personal information with third-parties if we are required to do so for specific purposes and will take reasonable steps to ensure that recipients only process the disclosed personal information in accordance with those purposes.

 

4. How long your personal information is kept and how we keep it safe.

Your personal information will be held for no longer than is reasonably necessary for the purpose for which it was obtained and in line with SDS and SQA requirements. We will carry out periodic reviews of the personal information that we hold about you to ensure that this is the case.

Any sensitive information that has to be sent by email will be encrypted and the password shared by other means. Sensitive information that has to be posted will be double enveloped. Staff will password protect their laptops/pcs and VQ folio. Passwords will not be saved to the pc.

5. Your rights

You have the right to request that any inaccurate or incomplete personal information that we hold about you is modified or corrected at any time.

In certain circumstances, you have the right to request that we delete the personal information we hold about you and we restrict or stop the processing of your personal information for specific purposes at any time (although this may adversely affect your ability to participate in our training or event or to obtain services from us).


You have the right to access (without charge) the personal information that we hold about you by making a “subject access request” of us at any time.

If you remain dissatisfied, you have the right to raise a complaint with the Information Commissioner’s Office at ww.ico.org.uk.

 

6. Amendments to this Privacy Policy

We may change this Privacy Policy at any time. Changes will be published on our website and the date of the most recent revision will appear at the bottom of this page.
